Cancellation Policy

1. Cancellation by Customer
We understand that plans can change. If you need to cancel your booking, please notify us as soon as possible in writing via email to bookings@travelindia.com. Cancellation charges will apply as follows:
Cancellation Charges

| 30-44 days | 25% of tour cost |
| 15-29 days | 50% of tour cost |
| 7-14 days | 75% of tour cost |
| Less than 7 days | 100% of tour cost (No refund) |
| No show / After departure | 100% of tour cost (No refund) |
Important Notes:
- Cancellation charges are calculated from the date we receive your written cancellation request
- The cancellation date is based on Indian Standard Time (IST)
- Refunds will be processed within 15-20 business days from the cancellation date
- Payment gateway charges and processing fees are non-refundable
- Refunds will be made to the original payment method
2. Cancellation by TravelIndia Tours
In rare circumstances, we may need to cancel a tour due to:
- Insufficient number of participants (minimum group size not met)
- Force majeure events (natural disasters, political unrest, pandemics)
- Government restrictions or advisories
- Safety concerns
- Operational reasons beyond our control
In Case of Our Cancellation:
You will receive:
- Full Refund: 100% of the amount paid, with no deductions
- OR
- Credit Note: 110% of the amount paid as a credit note valid for 12 months for any future tour
- OR
- Alternative Tour: Transfer to an alternative tour of equal or higher value
We will notify you immediately of any cancellation and assist with rebooking or refund processing. However, we are not liable for any additional expenses you may have incurred (flights, hotels, etc.).
3. Modification of Booking
3.1 Name Changes
- Name changes are permitted up to 30 days before departure
- A processing fee of ₹500 per name change applies
- Changes are subject to availability
- The new traveler must meet all tour requirements
3.2 Date Changes
- Date changes requested 45+ days before departure: ₹1,000 fee + any price difference
- Date changes requested 30-44 days before departure: ₹2,500 fee + any price difference
- Date changes requested less than 30 days before departure: Not permitted (cancellation policy applies)
3.3 Tour Changes
Changing to a different tour package is subject to:
- Availability on the new tour
- Processing fee of ₹2,000
- Price difference between tours (if applicable)
- Must be requested at least 45 days before original departure
4. No-Show Policy
If you fail to show up at the departure point or join the tour without prior notice:
- No refund will be provided
- The booking will be considered cancelled
- You will forfeit the entire tour cost
- You will not be eligible to join the tour at a later date
If you know you cannot make it, please cancel in advance to receive partial refund as per our cancellation policy.
5. Early Departure / Tour Interruption
If you choose to leave the tour early or miss any part of the tour due to personal reasons:
- No refund will be provided for unused services
- You are responsible for all additional expenses incurred
- We are not liable for any missed tour components
Exception: If early departure is due to medical emergency with proper documentation, we may consider partial refund on a case-by-case basis.
6. Special Circumstances
6.1 Medical Emergencies
In case of medical emergencies preventing travel:
- Provide a medical certificate from a registered practitioner
- Notify us as soon as possible
- Standard cancellation charges may be waived (at our discretion)
- We strongly recommend travel insurance to cover such situations
6.2 Death in Family
In case of death of immediate family member:
- Provide death certificate
- 50% of tour cost will be refunded (excluding peak season)
- OR full credit note valid for 12 months
7. Travel Insurance
Important Recommendation
We strongly recommend purchasing comprehensive travel insurance that covers:
- Trip cancellation and interruption
- Medical expenses and emergency evacuation
- Lost or delayed baggage
- Personal accident and liability
Travel insurance can protect you from financial loss due to unforeseen circumstances.
8. Refund Processing
Timeline
- Refund request processed within 7 business days of receiving cancellation
- Refund amount credited within 15-20 business days
- Refund to credit/debit cards may take 5-7 additional banking days
Refund Method
- Refunds will be made to the original payment method
- For cash payments, refund by bank transfer (provide bank details)
- Processing and gateway charges are non-refundable
9. How to Cancel
Cancellation Process:
- Send a written cancellation request to bookings@travelindia.com
- Include your booking reference number and passenger details
- You will receive a cancellation acknowledgment within 24 hours
- Cancellation charges will be calculated and confirmed
- Refund will be processed as per the timeline mentioned above
